Adding a Meeting

Meetings can be added manually, but can also be creatd dynamically through the integration with Granicus

Manually creating a Meeting

Input the folowing fields:

  • Title: For the name of the meeting. This field is required.

Under the Meeting information tab you will find:

  • Board/committee/commission: Select the board/committee/commission the meeting relates to from the drop down list. If the board/committee/commission is not showing then it needs to be created in the CRD webservice first.
  • When: Populate the date and time of the meeting. You can add multiple instances of the same meeting by selecting "add another item".
  • Address: You can choose to include an address for your meeting.
  • Location: Adding latitude and longitude coordinates will produce a map. 
    • Input the street address into this LatLong tool to find the needed values. 
  • Include Link to Detail View: Selected by default. This checkbox will provide a 'More details' link in the list view of meetings within each board/committee/commission page.

Adding Documents

You can add the following meeting materials through the Media Library:

  • Agenda(s) - can add multiple files
  • Minutes - can add multiple files
  • Reports - can add multiple files

Adding audio

You can add a link to an audio file by providing the URL and link text. 

Integrations

Granicus Legistar

The meeting content is integrated with Granicus Legistar through the Granicus Legistar custom module using feeds to synchronize the events (meetings) of the boards, committees & commissions.

Editing a Meeting Node

Some individual meetings are created by Granicus. You can still edit individual meetings to manage the materials found under the Meeting materials tab, including agendas and minutes. For meetings that are not created by Granicus, all fields can be edited. 

  1. To edit a Meeting, click on Content in the Drupal toolbar.
  2. Filter by the Meeting content type.
  3. Click to edit the specific node. Make your desired edits.
  4. Make sure that Published is selected in the dropdown menu, and click Save.

Content lifecycle

Meeting content type nodes will be unpublished automatically five years after the date of the meeting has passed.
